CALENDAR OF ASSEMBLY DEADLINES AND EVENTS


Send changes in officers, addresses, telephones, faxes, and e-mails as soon as you know them.

Send Division Director of Communications and Affiliate Services copies of pertinent assembly correspondence (e.g. session, workshop, meal function, booth proposals and requests, membership announcements, special interest group meeting agendas, etc).

Requirements of Affiliation:

*    Each assembly's membership has at least 25 NCTE members.

*    Each assembly holds at least one general meeting each year for the total membership, usually during Special Interest  Group time at the NCTE Annual Convention.
     Depending on the size of their memberships, some  assemblies are entitled to sponsor sessions, workshops, meal functions, and/or booths at NCTE conventions.

*    Each assembly maintains effective means of disseminating information to the membership (usually at least a newsletter).  NCTE Division Director of Communications and Affiliate Services should be on list to receive all publications.


May 

Requests for special interest group meeting space and exhibit space for annual convention due May 1.

Assemblies receive request from Office of Associate Executive Director to submit their annual reports.

NCTE Directors receive minutes of Annual Business Meeting of the Board of Directors for reporting to the members of their assemblies by May 15.

June 

NCTE Ballots due to NCTE headquarters by June 1.

Allotment of NCTE Directors sent to each assembly by June 15.

Assembly annual reports due to the Office of the Associate Executive Director by June 15.

July 

Assembly special interest group brochure copy, roster updates, dues, editors reports, and information sheets due by July 15.

The Special Interest Group Brochure goes into production with a brief description of each assembly, its publications, dues, name, address, telephone number, e-mail address of a contact person, and Web site address (if available) as well as a form an interested person could use to apply for membership in the assembly. This also goes on the NCTE web site.

Members receive NCTE Convention Preview in July Council Chronicle.

Whole Language Umbrella Conference

August

Register for the NCTE Annual Convention.

September 

Last day for receipt of assembly dues and name(s) of NCTE Director(s) in order to be represented at the Annual Business Meeting of the Board of Directors is September 15.

October 

Board of Directors packets mailed to all designated directors by early November.

November 

Resolutions submitted to NCTE Resolutions Chair must be postmarked by November 1.

NCTE Annual Convention –Annual Business Meeting of the Board of Directors; assembly meetings during Special Interest Group time slots; some assembly workshops, sessions, meal functions, and booths. Pick up a program proposal form for next Annual Convention.

Many assembly officers take office-report these new officers to NCTE Affiliate Director by December 1. 

December

Send any assembly officer changes since July, including elections, resignations, etc.

Newly elected and appointed NCTE officers, committee chairs, and commission directors take office December 1.

Memo to assemblies reminding them to submit workshop, session, booth, and meal function proposals (if eligible) and/or requests for Special Interest Group meeting time.

January/February

Request for assemblies to send in their membership lists by March 15. Lists are matched to NCTE membership lists for same area to determine the number of Directors allotted to each assembly and to determine that each assembly has at least 25 NCTE members.

Workshop, session, booth, and meal function proposals (if eligible) for Annual Convention due.

March

CCCC Conference

April 

Membership lists due at NCTE headquarters by April 1.
NCTE and SLATE Ballots mailed out by April 15.
