Annual reports are due by September 15 of each year. All the items below are needed to complete the Annual Report. Note:
Except for dues, all the items below can be sent via email or by U.S. Mail.
Except for the online reports and dues, most items below will likely only need to be gathered (such as meeting minutes, roster of officers, membership forms, and special project fliers).
You may send these items in as a group or individually as you collect them. Please make sure each item is clearly labeled with your student affiliate's name.

Checklist: Use this Reporting Checklist to help keep track of reporting items below. Please submit a copy with your annual report.
Dues: Please submit your dues and the Student Affiliate Dues Form via U.S. Mail. to the address above. Student affiliate dues ($2.50 per student affiliate for each year) must be paid before a student affiliate's faculty sponsor can serve on the NCTE Board of Directors.
Roster of Officers: Submit a roster by email or print. Please include full address, telephone numbers, a preferred email with each officer, and general dates of each officer's term. This complete information will help make communication between the student affiliate and NCTE efficient and timely. Please be sure to include contact information for your affiliate's liaison officer.
Roster Statement Form: The Roster Statement Form should be attached to or submitted with your roster of officers.
Meeting Minutes: Please send a copy of your student affiliate's meeting minutes for for July 1, 2009 - June 30, 2010. Please put the NCTE Affiliate Director on your mailing list to receive Executive Board minutes or email the minutes to affsec@ncte.org. Please send any other affiliate documents that NCTE HAS NOT ALREADY RECEIVED this year, including conference programs and newsletters.
Faculty Sponsor/Board of Directors: The Faculty Sponsor of an NCTE student affiliate serves as a member of the NCTE Board of Directors and must be members of NCTE. Student affiliates should be represented at the Annual meeting of the Board of Directors by their Faculty Sponsor. Student affiliate members are welcome buty they are not voting members of the Council. You will receive meeting information (and voting credentials) for the Board of Directors prior to Convention each year.
Constitution, By-laws, Policy Statements: If you've had changes in your constitution, by-laws, and/or policy statements, please send a copy of the amended version(s).
Membership List: Each student affiliate is required to provide a statement of membership. Student affiliates must have a minimum of 10 NCTE student members and all student affiliate officers and faculty sponsors must be members of NCTE. If your student affiliate did not submit its membership list yet this spring, please send a membership list now (alpha order by last names, full addresses, and e-mails, if possible). You should be counting only current members (both paid and complimentary), not those whose memberships have expired. If you would like some advice on membership list maintenance, please contact the NCTE affiliate office.
Policy of Involvement of People of Color: All student affiliates are urged to have a policy stating the student affiliate's intent to be inclusive and representative, by involving persons of color in the organization. (e.g. see NCTE's Policy)
Budget/Financial Statement: Please submit a copy of your annual budget and/or financial statement. A blank Financial Statement Form is available for you to use.
Delay Sheet: If you are not able to submit these items by September 15, please complete and submit the Delay Sheet.
