NCTE Affiliate Newsletter of Excellence Award

Criteria and Online Submission Form

Purpose: The purpose of this award is to honor outstanding affiliate newsletters and their editors and to encourage excellence in these publications.  Newsletters selected represent models for affiliate newsletters to emulate.

Who Can Participate:   Any affiliate of NCTE which has published a minimum of three newsletters from May of the previous year through the program deadline on May 1 in the year of the award, is eligible to submit its newsletter for consideration for the award.

Frequency/Number of Awards:  Outstanding newsletters will be selected and recognized as Newsletters of Excellence at the Affiliate Breakfast at each year's NCTE Annual Convention.

Award Specifics:  Certificates will be presented to each winning affiliate.

Award Criteria:  Affiliates nominate themselves for this award by submitting four copies each of three different issues of their newsletter published in the previous year or the year of the award (or online access to their electronic newsletter published at least three times a year) as well as the completed online Affiliate Newsletter Award Submission Form

Submissions will be judged on the criteria listed below (updated in 2014):
  • Consistency and timeliness (10 points): the newsletter is disseminated at least three times a year at scheduled times.
  • Purposeful publication (10 points):  the affiliate's goals are clear and help organize the publication. Readers can easily identify the short- and long-term goals.
  • Pertinent content (40 points): affiliate news, NCTE news, professional development opportunities, best practices, recommended reading, learning opportunities for students, awards for members.
  • Effective writing (20 points): well-organized, clear purpose, engaging voice, fluent, balance of in-depth and brief articles.
  • Easy to read, including professional graphics (20 points): formatting aids the reader in locating information. Graphics artfully organize the space, guiding the reader's eye, enhancing the presentation of ideas and information, e.g. photos of affiliate events, speakers at conferences, columnists, student and teacher award winners. FOR ONLINE NEWSLETTERS: appropriate working links that are clearly identified and extend the information in the text.

Submissions: Submit four copies of three different issues of your affiliate's newsletter published in the previous year or year of the award (or online access to the electronic newsletter published at least three times a year) as well as the completed online Affiliate Newsletter Award Submission Form. Paper submissions should be sent to the participating SCOA Representative: Julie Rucker, 17 Timber Trail, Tifton, GA 31794 . These must be postmarked/submitted online no later than May 1 of year of the award--late entries will be returned.

HINTS:

  1. You might want to open and print the Affiliate Newsletter Award Submission Form to help you assemble the necessary information and to guide you as you work online to complete it.
  2. You may copy long responses from WORD or another word-processing program and paste them into the survey form.

Deadlines: Submissions must be postmarked no later than May 1 of year of award. The award winning affiliate(s) will be notified in late summer so that they may have a representative present to receive the award at the NCTE Annual Convention Affiliate Breakfast. This representative is expected to purchase a breakfast ticket with convention preregistration.

Administration:  The Standing Committee on Affiliates will administer the award. The Standing Committee on Affiliates will appoint a member to handle the judging, the awards specifics, and notification to applicants. The committee will also provide annual feedback on ways to improve the program so that it runs smoothly. The Senior Developer for Affiliated Groups and Public Outreach at NCTE will handle publicity.

Judging:  Each submission (submission form plus three different newsletters published in the last year)  will be independently evaluated by three judges. An average of the three judges' score will constitute the score for the submission. 

Copies of the winning entries may be borrowed from the NCTE Affiliate Office through the lending library.
